Exporting Order Data
For easier daily order management, SHOPLINE provides the option to export picking lists, shipping lists, order details, and order reports on the Orders page, helping you quickly export the needed orders in bulk.
How to Export Orders
You can export picking lists, shipping lists, order details, or order reports based on your needs.
- From your SHOPLINE admin panel, go to the Orders module.
-
Click Export orders at the top and choose one option from the dropdown menu: Shipping list, Picking list, Order details, and Order report.
Below are a few operations you can take during exporting.
Specifying the Export Range
You can manually specify the range of shipping lists, picking lists, order details, and order reports for export. Take exporting a picking list for example.
- Current filter result: All orders within the current filtered page.
- Order date: All orders within a specified date range.
-
Selected order: Orders that have been selected on this page (ensure you tick the desired orders beforehand in the order list).
Customizing Order Reports
- When exporting order reports, you can opt to export orders that meet the filter conditions.
- Additionally, you can customize the exported fields for your report by clicking Custom export field. Select the needed fields and choose to export the report in either store currency or order currency.
Viewing Export Progress
Exporting a large number of orders may take some time. The limit to the number of orders that can be exported in one batch is around 200,000 orders. If there is a large amount of data to be exported, it may be split into multiple files for export. You can check the export progress on the Bulk processing progress page, which can be accessed through the following three ways:
-
In the Currently exporting pop-up window, click on Bulk Processing Progress to jump to the page.
-
(For order reports) If you can't locate the exported documents during the exporting process, you can also click on Export order > Order report. From there, click on Export order history in the pop-up window.
-
Click on the avatar icon in the upper right corner, select Bulk processing progress, and go to the Bulk processing progress page to check the progress and download the report.

Order Report FAQs
What's the difference between Order subtotal and Order total in the order report?
Order subtotal is the product amount after product discounts. Order total is the final amount the customer pays for the order. On top of the products, it includes shipping, taxes, and other fees, with all discounts and points deductions subtracted.
Here's how they compare:
| Comparison | Order subtotal | Order total |
| Starting point | Final price × Quantity, with product discounts already deducted | Selling price × Quantity (before discounts), with all discounts deducted afterward |
| Shipping and surcharges | Not included | Included |
| Taxes and duties | Not included | Included (if your prices include tax, the tax is already part of the product amount and isn't counted twice) |
| Tips | Not included | Included |
| Order discounts and points deductions | Not deducted | Deducted |
| Adjustment amount | Not included | Included |
Example: A customer buys 2 items priced at 100 USD each, with a 10 USD product discount on each item. Shipping is 30 USD, there's a 15 USD order discount, and the customer uses 5 USD in points. (Prices include tax, and there are no tips, duties, or adjustments.)
- Order subtotal = 90 USD (final price) × 2 items = 180 USD
- Order total = 200 USD (product amount) + 30 USD (shipping) − 20 USD (product discounts) − 15 USD (order discount) − 5 USD (points) = 190 USD
If you're reconciling from Order subtotal, don't deduct product discounts again. Product discounts are already reflected in Order subtotal, so you only need to add shipping and other fees, then subtract order discounts and points:
- Correct: 180 (Order subtotal) + 30 (shipping) − 15 (order discount) − 5 (points) = 190 USD
- Incorrect: 180 + 30 − 20 (product discounts) − 15 − 5 = 170 USD (product discounts are deducted twice)
| Note: Because discounts are spread across individual items, reconciling from Order subtotal may leave a difference of a few cents compared with Order total. |
What's the difference between Order total in the order report and Total Order Amount in the financial report?
Although the names are similar, the two are calculated differently, so the same order may show different amounts in each. Here are the main differences:
| Comparison | Order total (order report) | Total Order Amount (financial report) |
| Duties | Included | Not included |
| Adjustment amount (such as rounding differences) | Included | Not included |
| After the order is canceled | Still shows the original amount | Updated to 0 |
Example: A customer places an order with 100 USD worth of products and pays an additional 10 USD in duties.
- The order report shows an Order total of 110 USD, while the financial report shows a Total Order Amount of 100 USD.
- If the order is canceled later, the order report still shows 110 USD, while the financial report is updated to 0 USD.
Recommendations:
- For sales, refunds, and other financial data, refer to the financial report. For details, see "Finances Reports".
- If you calculate amounts yourself using the order report, filter out canceled orders first, and keep in mind that Order total includes duties and adjustments.
About Shipping Lists, Picking Lists, and Order Details
Shipping lists, picking lists, and order details provide comprehensive information about orders. You can use them to pick and pack or include them in shipments for customers to check their purchased items. However, there are distinctions between these three.
Shipping Lists
Shipping lists include essential shipment information only. The shipping list page is concise and conceals customer-related details, displaying only necessary recipient information.
Example:
Picking Lists
Picking lists provide essential information for order picking, including the recipient's address and picking address, as well as product images, details, and quantities.
Example:
Order Details
Order details offer complete order information. In addition to the information found in the shipping list, order details include order status, payment status, customer information, product images, and other order content. If multiple discounts were applied to an order, they are also listed.
Example:
