Inventory refers to the quantity of goods stored in a warehouse. You can set different inventory levels for each product variant, indicating the quantity available for sale.
SHOPLINE's Inventory module helps you with the following:
- Updating and managing inventory in real time across multiple locations, with products categorized into different statuses.
- Configuring whether to continue selling products when out of stock. When disabled, products cannot be oversold.

Inventory Tracking Settings
SHOPLINE allows you to track product inventory to help you maintain accurate stock levels. To set up product-level inventory tracking, follow these steps:
- From your SHOPLINE admin panel, go to Product and either add a new product or select an existing one to access its details page.
- On the product details page, scroll down to the Inventory section and check the Track quantity with orders box. For products with multiple variants, check the box on the variant details page.
Understanding Inventory Statuses
To maintain accurate inventory in the SHOPLINE admin panel, the system assigns inventory statuses to products, ensuring you have the latest information and allowing you to make informed decisions about orders and inventory management.
The Inventory section under the Products module displays columns for the following inventory statuses:
- On-hand: The total quantity of products stored at a specific location. It's the sum of Committed, Unavailable, and Available inventory. You can edit the on-hand quantity in the SHOPLINE admin panel. When you edit the on-hand quantity, the available quantity will be adjusted accordingly. For example, if you have 20 pieces of a T-shirt in your warehouse, the on-hand quantity for this product is 20.
- Available: Inventory available for sale. It has not been allocated to any orders or reserved for draft orders or other sales channels. It also does not include any incoming inventory. You can edit the available quantity in the SHOPLINE admin panel. When you edit the available quantity, the on-hand quantity will be adjusted accordingly. For example, if you have 20 T-shirts and none of them have been assigned to any orders, the available inventory for this product is 20.
- Committed: Inventory allocated to orders that have been placed but not yet shipped. For example, if you have 20 T-shirts in your on-hand inventory and 2 have been sold, the committed inventory will be 2 once the order is generated. The available quantity will decrease to 18, while the on-hand quantity remains unchanged at 20.
- Unavailable: The inventory reserved for draft orders or other scenarios, such as holding stock for specific customers or keeping items in reserve for future use. Once you allocate an unavailable quantity, the available quantity decreases by the same amount.
- Transfer: Inventory that is en route to a specific location and cannot be sold until they are received. Once the items arrive, their status automatically changes to Available, and the received quantity is added to the available quantity, contributing to the on-hand inventory. For example, if your warehouse has 10 T-shirts available for sale and 2 are being transferred to this location, the incoming quantity is 2. After receiving the items, the available quantity will increase to 12, and the incoming quantity will become 0.
Viewing and Modifying Inventory Quantities
Both the product details pages and the Inventory page provide a view of your inventories. If you have set inventory levels for a product in multiple locations, you can switch between locations to view inventory data.
Note: If inventory levels aren’t set for a product at a location, its data won’t display for that location. |
To modify inventory quantity:
- From your SHOPLINE admin panel, go to Products and click on a specific product.
- On the product details page, scroll down to the Inventory > Store locations area. Hover over the quantities of inventory statuses (Available or On-hand) for a location to see an edit icon. Click it to modify the inventory quantities:
- Modify based on current inventory: Change the quantity relative to the current inventory.

Modify to specified inventor: Set a specific inventory quantity.
- Click Edit locations to switch between different locations and update their respective inventory quantities. You can also select multiple locations to enter inventory quantities at once. Click Update.
For products with multiple variants:
- From your SHOPLINE admin panel, go to the Product module and click on a specific product.
- On the product details page, scroll down to the SKU list area. Select the product variants you need by checking the box, and then click the Modify the inventory button.
- In the pop-up window, choose the location where you want to modify its inventory. Click Continue.
- Choose one of the options to modify the inventory quantities: Change to a specified inventory quantity or Adjust according to the original inventory.
- Click Confirm, and then click Update on the product details page to save the settings.
To bulk edit the inventory quantities for multiple products or variants:
- From the SHOPLINE admin panel, go to Products > Inventory.
- If you have multiple locations, select a location from the dropdown in the upper right corner.
- The Inventory page displays items on an SKU basis. Select the SKUs you need, and click Change inventory.
- Choose one of the options to modify the inventory quantities: Set as, Add, or Reduce. Once finished, click Update.
Tip: On the Inventory page, you can also modify the Available or On-hand inventory quantity for any line item directly. When you modify one of them, the quantity of the other inventory status will be automatically adjusted in the same amount.
Viewing Inventory Adjustment History
If you use SHOPLINE to track your inventory, you can view the history of inventory adjustments for a specific product or variant. However, you can't view the adjustment history for all variants at once. If you notice discrepancies between the actual inventory and recorded inventory, check the adjustment history to see who made changes and when.

To view the inventory adjustment history:
- From your SHOPLINE admin panel, go to Products and click the product you want to examine its inventory history.
- In the product details page, scroll down to the Inventory section and Click the blue View history button.
- In the inventory adjustment history page, examine the inventory changes made at different times.
- If needed, switch between locations by selecting from the dropdown menu in the upper right corner.
Note: For products with multiple variants, on the product details page, click on a variant to access the variant details page. From there, click View history in the Inventory section to access the inventory adjustment records page for this variant. To switch between variants, use the selector on the left side of the variant details page. |
