Restocking Products via Store Restock List
The Store Restock List, available through the Smart Inventory Management app, helps you manage inventory more efficiently across multiple locations. It provides a centralized view of real-time stock levels at your current location and other POS Pro stores, enabling you to quickly decide whether to initiate a cross-store transfer or create a new purchase order to optimize inventory turnover.
This guide walks you through using the Store Restock List to move beyond basic record-keeping and into dynamic restock management. You’ll learn how to switch between POS Pro locations to compare stock levels at a glance, generate purchase orders with a single click, and use the asynchronous export feature for comprehensive multi-store reporting.

Accessing the Store Restock List
- Log in to your SHOPLINE Admin and select Apps from the left navigation menu.
- Select Smart Inventory Management from the list.
- From the app, click on Store restock list located in the top-right corner.
Managing Your Restock List
Once you are in the list, you can evaluate your restock needs based on real-time data for your selected location.
- Toggle Between Stores: Use the dropdown menu at the top to choose the store you wish to restock. This list includes all active POS Pro stores associated with your account.

Analyze Inventory at a Glance: The list provides a detailed breakdown for every SKU in your selected location:
- Incoming: Stock that has been dispatched but not yet received.
- Available: Stock currently available for sale.
- On-Hand: The physical quantity currently present at the location.
- Avg. Daily Sales (15 Days): View recent sales trends from your POS to help estimate restock quantities.

Check Other Store Availability: If your current store is low on stock, you can quickly check if other locations can spare inventory instead of placing a new order:
- List View: Directly view the total available inventory across all other POS Pro stores.
- Detailed Pop-up: Click View Other Stores’ Inventory or the corresponding value to open a pop-up showing the exact inventory of each POS Pro store, along with a total at the bottom, making it easier to decide whether to proceed with an inter-store transfer.
Initiating Purchase Replenishment
When inventory levels at a selected location are insufficient and inter-store transfer is not suitable, you can use the Store Restock List to initiate purchase replenishment and generate a purchase order directly based on your restock needs.
- Enter the required quantity in the Pending Replenishment Quantity column (range: 1–99,999).
- To enter the purchasing flow, select Purchase Replenishment to open the selection panel on the left.
- Select the SKUs to be purchased and confirm the Purchase Quantity and Purchase Unit Price (defaults to cost price).
- Select Proceed to Generate Purchase Order. The system will automatically redirect you to the purchase order creation page with the selected location, quantities, and prices pre-filled.

Exporting and Managing Multi-Store Inventory Analysis Reports
The Inventory analysis report helps you export inventory insights across one or multiple locations for further review and sharing. This guide explains how to download analysis reports, retrieve exported files from the Task Center, and handle large exports.
How to Download Inventory Analysis Reports
- In Smart Inventory Management, go to Analysis > Inventory analysis.
- Click Export, then select Export Excel or Export PDF.
- In the export scope selection pop-up, select multiple active POS Pro stores under the current account to obtain consolidated data for multiple locations in one export.
- Click Export to start the export task.

How to Download Files via the Task Center
- Go to the Task Center from the admin panel.
- Check the export task status and download the file once the task is complete.
Handling Large Data Exports (Over 5,000 Records)
If the exported inventory data exceeds 5,000 records, the system will automatically split the data into multiple Excel files and package them into a single ZIP file for download to ensure system stability.
Frequently Asked Questions
Q1: Is there a limit to the number of products in the Store Replenishment List?
A1: Yes. Each store’s replenishment list is limited to 500 SKUs. If the limit is reached, you will receive an over-limit prompt when clicking Replenish in the inventory alert feature.
Q2: Will my existing purchase list data be lost?
A2: No. This upgrade preserves existing data. Any data you previously added will remain available after the update.
Q3: Why can’t I find some stores in the drop-down list?
A3: The replenishment list only supports active, non-expired POS Pro stores. If you are using a Lite store or the store subscription has expired, it will not appear in the list.
