Updating Inventory for Existing Products
After setting up inventory for a product, you can return to the product edit page at any time to update stock quantities, manage inventory locations, track incoming inventory, and review previous inventory adjustments.
This guide explains how to manage inventory for an existing product after its initial inventory settings have been saved.

Accessing Inventory for an Existing Product
To manage inventory for an existing product:
- From your SHOPLINE Admin, go to Products and select the product you want to update.

Locate the Inventory section on the product edit page.
- Update the inventory as needed by following the instructions in the sections below, then click Update to save your changes.
Managing Inventory Locations
You can update which locations stock the product:

In the Inventory section, click the pencil icon next to Locations.

Select or deselect the locations where you want to stock the product.
- Click Update to apply your changes.
Newly added locations are then available for inventory management in the location table.
Understanding Inventory Statuses
Under the All tab, the inventory table shows the inventory status for each location:
- Unavailable: Inventory that can't be sold due to reservations or draft orders.
- Committed: Inventory allocated to outstanding orders for shipment.
- Available: Inventory currently available for sale in your store.
- On-hand: The total inventory at the location, equal to the sum of Unavailable, Committed, and Available quantities.
The Total row shows the combined inventory quantities across all listed locations.
Adjusting Inventory Quantities
You can manually update an editable inventory quantity for a specific location:
| Note: Inventory quantities can only be updated when Track inventory is enabled. If it's disabled, SHOPLINE doesn't track inventory quantities for the product, and Don't track inventory is displayed for each location. |
- Under the All tab, hover over the location you want to update.

Click the pencil icon next to the quantity you want to adjust.

Choose how you want to update the inventory:
- Adjust based on current inventory: Enter the quantity to add to the existing inventory, or enter a negative number (-) to subtract from it.
- Adjust to specified inventory: Enter the inventory quantity you want to set.
- Click Confirm.
The updated quantity is reflected in the inventory table.
Managing Incoming Inventory
The Incoming tab shows inventory expected to arrive at each location through transfers or purchase orders. Use this tab to track stock that hasn't yet been received.
To view incoming inventory:

Click the Incoming tab.
- Review the Incoming quantity for each location.
You can also create incoming inventory directly from this tab:

Click the dropdown icon next to the Incoming quantity for a location.

Select Transfer or Purchase orders.
- Follow the corresponding workflow to create the transfer or purchase order.
Once the incoming inventory is received, the applicable inventory quantities are updated accordingly.
Checking Inventory Available Online
The Inventory available online section shows the quantity of the product currently available for purchase on your online store. This quantity may differ from the total inventory across your locations depending on the inventory calculation method used.
In the Inventory section, you can view the current Inventory available online quantity. You can also click See calculation method to check how the quantity is calculated or Log to review its change history.

Viewing Inventory Adjustment History
To review previous inventory changes, click Adjustment history in the inventory table.
The Adjustment history page shows inventory activity and changes to the product's Unavailable, Committed, Available, and On-hand quantities.
From this page, you can:
- Use the location selector in the upper-right corner to view adjustment history for a specific inventory location.
- Review the date and activity associated with each inventory adjustment.
- Click Export inventory adjustment history to export the adjustment records for further review.
If no adjustments have been recorded for the selected location, the page displays No data available.
