CSV format has the advantage of saving a large amount of data in a small file size. Thus, SHOPLINE uses CSV documents for bulk import and export product management.
Currently, the system only recognises properly formatted CSV files. CSV is a special data storage file format. Some versions of Microsoft Excel cannot open the CSV file correctly. Please use a professional CSV editor or WPS software to edit and save the file to avoid file format damage and failure in importing product information.
Note: Do not modify the field content and field order in the first row of the template, as that may cause import failure. |

Before you start
Using a spreadsheet (CSV, XLSX, or XLS) to format product data quickly, you can easily import products into your SHOPLINE POS store in bulk.
Before you start, prepare the following product information:

Downloading the product template file
To get started, download the product template spreadsheet file. The product template is pre-designed and contains all the necessary product details that can be recorded in SHOPLINE POS.
We highly suggest using Excel or free spreadsheet software like Google Sheets to open the product template spreadsheet file in order to maintain the required formatting.
Understanding the product fields in the product template
Once you download the product template spreadsheet file, you will need to add your product information.
There are two different types of products that can be added to your store and each will require slightly different information:
- Standard product:
-
- Single product with a single SKU and its own inventory.

-
- Product with variants:

Adding standard product
A standard product refers to a single item with a unique SKU and its own inventory.
To create a standard product, start by assigning a name to your product. It's essential to ensure that each product name is unique and specific to avoid confusion, especially if your store offers similar items. Avoid using general or vague names like "t-shirt" and instead, use a specific name like "SHOPLINE Anniversary T-shirt" for easy identification.
You have the option to either create your own SKU for the product or allow Retail POS to automatically generate a SKU by leaving the corresponding field blank.
Similarly, you can manually create a handle by entering a supported format handle, or you can leave the handle field blank and allow the SHOPLINE system to generate one automatically.
It is essential to provide a retail price for your product. Leaving the retail price column blank will result in the product being priced at $0.
To add more standard products, navigate to the next line in the spreadsheet and follow the same steps mentioned above. Repeat the process for as many products as needed.
Adding products with variants
When creating a product with variants, it's important that each variant product has a different name to group them together.
As an example, let's say you want to upload a T-shirt that has two different variants rules: Color and Size.
Option 1 Name: Enter the name of the first variant, for example, "Color".
Option 1 Value: Enter the value of the first variant, for example, "Red", "Yellow" and "Blue".
Option 2 Name: Enter the name of the first variant, for example, "Size".
Option 2 Value: Enter the value of the first variant, for example, "S, "M" and "L".
To add more variant products, navigate to the next line in the spreadsheet and follow the same steps mentioned above. Repeat the process for as many products as needed.
Importing product file
Once you have finished filling out your product template spreadsheet file, you can import it into your SHOPLINE admin, product management page.
You can choose to update/overwrite the same product, and existing values will be used for any missing columns.
To upload the product template spreadsheet file:
- From your SHOPLINE admin, go to Products.
- To import products, navigate to the product page and click on Import products > Import locally.
- Upload the saved product template file, then click Import.
- If the import is successful, you will be able to view the uploaded products in your product management.
To ensure the accuracy of the uploaded data, click on the product and review the variant section.
