Flow Automation: Updating Smart Collection via Action
You can use the Update smart collection action in Flow Automation to automatically modify the details of a smart collection when specified conditions are met. This process helps dynamically manage collections that automatically filter products based on preset rules.
This guide explains the field descriptions for this action, the applicable workflows, and how to test and apply it in real-world scenarios.
| Note: In the Flow Automation app, collections are referred to as Categories. When setting up your workflow, please search for "Category" to locate the relevant triggers and actions. |
Field Descriptions
The Update smart collection action allows you to define the updated information for the target collection. You can enter static text or use parameters to insert dynamic values.
| Field | Description |
| Category title | The updated title for the smart collection. |
| Category description | The updated description or marketing copy for the smart collection. |
Applicable Workflows
The Update smart collection action is primarily used in workflows initiated by the following trigger:
- [Product] Product added to collection
| Note: For more details, please refer to "Flow Automation: Triggering Workflows When a Product Is Added to a Collection." |
Testing the Workflow
To test whether the workflow successfully updates the smart collection details, follow these steps:
- In Flow Automation, set up a workflow using the Product added to category trigger and the Update smart collection action.
-
Identify a Smart collection for testing. To confirm if a collection is smart, go to Products > Collections and ensure its Collection type is set to Smart collection.
Note: For more detailed instructions on adding products, please refer to the "Creating a Product Collection" section in the "Creating Product Collections" guide. - From your SHOPLINE admin panel, create a new product or update an existing one to meet these preset conditions (e.g., with "New 2025" product tag).
-
Once the system automatically adds the product to the collection based on the filter, go to the Flow Automation app to check the execution results.
Note: For more information on how to monitor the execution of your workflows, please refer to the "How to View the Running of a Flow" section in the "Introduction to Flow Automation" guide.
Example Use Case
Here is a practical example of using the Update smart collection action to automate collection updates.
Scenario: Auto-update smart collection info on product addition.
| Note: In the Flow Automation app, collections are referred to as Categories. When setting up your workflow, please search for "Category" to locate the relevant triggers and actions. |
- Trigger: Product added to collection
- Condition: Product tags include "New 2025"
-
Action: Update smart collection
- Collection title: 2025 New Arrivals
- Collection description: Discover our trendy products
- Outcome: When the system automatically adds a product with the "2025 New" tag to a smart collection based on its preset rules, this workflow will simultaneously update the collection's title and description to highlight the new seasonal arrivals.
| Note: The filtering conditions for Smart hierarchies are highly versatile. In addition to using product tags as shown in this example, you can also set conditions based on other attributes, such as product price (e.g., variant price is greater than 500), product name, or weight. |
